Preventative Maintenance Contracts

Scheduled care at a fixed price, with priority response when something does go wrong.

Airocool offers preventative maintenance contracts for businesses, schools, body corporates and households across Durban and the KZN North Coast. A contract sets an agreed service frequency at an agreed price, provides documented service records for every unit on site, and gives contracted clients priority response ahead of general call-outs during peak season. The purpose is to convert air conditioning from an unpredictable emergency expense into a planned, budgeted one.

Why contracts exist

Every December, the calls come in from people whose systems were fine in September. They were not fine in September — they were failing quietly, and nobody was measuring. Preventative maintenance is measurement plus cleaning on a schedule, and it catches the capacitor drifting out of tolerance, the drain starting to restrict, the coil losing heat transfer and the contactor pitting, while those are still cheap.

What a contract gives you that a call-out does not

A fixed, budgetable cost rather than a variable one. Priority scheduling in the weeks when everyone else is waiting. Documented service history per unit, which protects manufacturer warranties and satisfies facilities and insurance requirements. And a technician who already knows your site, your units and their history, rather than someone reading a job card in your driveway for the first time.

Who these suit

Schools, where failures during term or exams are unacceptable and holiday periods are ideal for work. Offices and retail, where comfort is directly tied to productivity and trade. Body corporates and complexes managing multiple units across a property. Medical and veterinary rooms with regulatory and comfort obligations. And households with several units who would simply rather it was handled without them having to remember.

The process

How this job runs

  1. Audit

We log every unit on site — make, model, capacity, age, condition — and give you the register.

  2. Propose

A frequency and scope that matches how the site is actually used, with a fixed price.

  3. Schedule

Visits booked into the calendar for the year. We come to you; you do not have to chase.

  4. Report

After each visit, a written record per unit and a note of anything to plan for.

Pricing

What affects contract pricing

Contracts are priced per site after the audit. The variables:

Factors affecting the cost of maintenance contracts
FactorWhy it matters
Number and type of unitsThe primary driver. Ducted and cassette units take longer than wall splits.
Service frequencyQuarterly for demanding environments, six-monthly for most, annual for light use.
Site accessHigh-level, roof-mounted and ceiling-void units affect time on site.
Response commitmentStandard priority, or a tighter guaranteed response window.
Contract termLonger terms are priced more keenly.

We publish the factors rather than a price list because a number that is wrong for your property is worse than no number at all. Ask us for a quote and you will get a real one.

Questions

Maintenance Contracts — common questions

What does an aircon maintenance contract include?
A full service of every covered unit at the agreed frequency — coil cleaning, drain clearing, filter service, refrigerant and electrical checks, and performance measurement — plus a documented record per unit, a condition report, priority breakdown response and discounted rates on any repairs outside the scope. Parts and repairs are quoted separately unless specifically included.
Is a maintenance contract cheaper than paying per service?
Per visit, yes — contract rates sit below once-off call-out pricing. The larger saving is in what does not happen: emergency call-outs at peak rates, compressor failures from running dirty, and water damage from blocked drains. For sites with several units the difference is substantial.
Can a contract cover a residential complex or body corporate?
Yes. Complexes and body corporates are a good fit, because a single scheduled visit covering many units is far more efficient than residents individually arranging service. We can invoice the body corporate centrally or handle units individually, whichever the trustees prefer.
What happens if a unit breaks down between scheduled services?
Contracted clients get priority response ahead of general call-outs, which matters most in December and January when everyone needs help at once. The call-out is attended at contract rates, and any repair is quoted before we proceed.
